Working with WebDesk

WebDesk is a web based tool available to Sun and iForce Partners to ensure that configurations designed and built are technically correct and will be supported by Sun.

Usually created and edited by the Partner Technical Pre-Sales Engineer, the configurations should be checked at the point of quotation to avoid problems with support or component incompatibility arising. Partners are required to provide the WebDesk validation reference number when ordering configuration parts from Sun.

Who uses WebDesk?

Sun Field Systems Engineers and Partner Pre-Sales Consultants use WebDesk to quote and design customer solutions. They will configuration-check the requirement and use this as the basis of their customer conversations. If the end user is a global customer, they may also quote using a global price list. WebDesk references are also used by Purchasing and Sun Order Management to order product from Sun Manufacturing. When placing an order, the items on the WebDesk reference quoted must match the items on the order.

Ordering explained

Partner orders placed on the Sun Manufacturing system that don't exactly match the WebDesk number quoted will be rejected, leaving them subject to delay. To avoid the consequent longer leadtimes and possible loss of business, it's important to be aware of common pitfalls.

  • some of the quoted parts may be taken from stock, rather than being ordered in full from Sun (a back to back order)
  • the numbers may differ because the whole quote is not being ordered in full
  • the price list used may differ as Partners can only purchase using their contracted price list from Sun

In certain circumstances it will be necessary to obtain a new WebDesk number:

  • when you try to remove or supply from stock an internal part from a configuration (an ATO). A new quote and validation check must be completed as the validity of the configuration needs to be re-checked.
  • if the WebDesk is in a different currency other than GBP - a new quote must be raised for ordering purposes. Orders for Partners on Sun can only be placed in their contracted purchasing currency.
  • when the quote reference used has expired. Only valid quotes can be used for ordering purposes.

WebDesk references are only required when ordering ATO (assemble to order) configurations i.e. those with internal parts pre-configured, manufactured and tested by Sun. If Sun has raised the WebDesk reference it will appear as: F-GB-1234-D, where F stands for field. If a quote starts with P then the Partner has raised the quote. The -D is the revision reference of the quote.

Tips to remember:

  • All configurations must be valid - this is indicated by a green tick within the tool
  • When ordering a configuration, you must have a WebDesk quote that exactly matches your order
  • Configurations are defined as any non-standard bespoke build that requires factory build prior to shipment
